Case Study: Hanover County Virginia Boardroom Multimedia Conferencing Solution

Challenge:

 

Hanover County required a multi-media conferencing system refresh for their board room. They contracted Productive to engineer and integrate an advanced multimedia conferencing system to support efficient meetings, seamless communication, and a high-quality experience for both in-person and remote participants. The solution needed to integrate video conferencing, document management, and voting capabilities while ensuring ease of use and scalability for future needs.

 

Solution:

 

Productive designed and implemented a comprehensive multimedia conferencing system, integrating cutting-edge technology to meet the County’s objectives:

 

  1. Televic CoCon Conferencing System: All 11 seats at the dais were equipped with Televic multimedia conferencing units, each featuring a microphone, speaker, camera, and screen. This provided an interactive experience, ensuring clear audio and video for all board member including voting capability.
  2. Crestron Automate VX & NVX Systems: The video system utilized four PTZ cameras, voice-activated switching, and Crestron NVX for flexible video distribution, providing high-definition video that followed the active speaker in the room. This system allowed remote participants to clearly see and hear everyone, ensuring seamless communication regardless of location.
  3. Microsoft Teams Integration: A Crestron Flex system was integrated to provide direct communication through Microsoft Teams. This allowed the County’s board members to easily collaborate with remote participants, streamlining video conferencing without additional software or complications.
  4. Enhanced Presentation and Audio Equipment: The room was equipped with (2) 136” video walls, (4) 86” LCD confidence monitors, (4) 86” LCD delay displays, ceiling speakers, and various channels of wired and wireless microphones. This ensured optimal visibility and sound for all attendees, whether in the front rows or the gallery seating area.
  5. Assistive Listening & Streaming: A new RF-based assistive listening system with 24 receivers and an Epiphan streaming encoder was installed to ensure accessibility for all participants. The streaming system enabled public viewing of meetings, expanding accessibility for those who could not attend in person.

 

Results:

 

  • Improved Efficiency: The Televic CoCon system’s modules for automated voting, agenda management, and document routing helped streamline the meeting process, allowing board members to focus on discussions.
  • Enhanced Communication: Clear, high-definition video and audio created a state of the art multi-media experience for board members and local and remote participants Scalability: The Crestron NVX endpoints offered flexibility, allowing the system to grow as the County’s needs evolve, whether for more displays, additional cameras, or more sophisticated video conferencing capabilities.
  • Full Accessibility: The assistive listening system ensured that all attendees, including those with hearing impairments, could fully participate in meetings. The ability to stream meetings also ensured wider community engagement.
